We have engineered a proprietary onboarding system that balances a seamless user experience with enterprise-grade security. Here is a look under the hood at how we verify our users.
Step 1: The First Line of Defense (Frictionless Onboarding)
The journey starts with our Horizon UI registration portal. To prevent spam and ensure secure communication, the very first step is OTP (One-Time Password) Email Verification. Users receive a secure 6-digit code valid for 10 minutes, protected by anti-spam rate limiting.
Alongside standard company details, mandatory acceptance of our Terms and Conditions and Privacy Policy is enforced. Crucially, we require a VAT/Tax ID. However, rather than implementing rigid blocks that frustrate users with complex tax formats, we use an intelligent „Soft Validation” mechanism. The system evaluates the VAT format in real-time. If an anomaly is detected, it does not block the registration; instead, it securely flags the account with a warning for our compliance team to investigate manually.
Step 2: The Automated Background Engine (VIES & Compliance)
Once the form is submitted, the user is safely placed behind our Pending Gate, completely isolated from the active marketplace.
Simultaneously, our automated VIES Admin Tool takes over. For EU-based entities, the system asynchronously connects to the official European Commission VIES API. This automated background process verifies the VAT validity without slowing down the user’s initial registration flow. The system maintains a complete audit history of these checks, giving our administrators real-time dashboards detailing valid, invalid, and pending tax statuses.
Step 3: Human Intelligence (The Final Decision)
Automation is powerful, but B2B trust requires human verification. Triggered by automated alerts and VIES data, the GTradX Compliance Team performs a deep-dive manual audit.
Crucially, an „invalid” VIES result does not automatically disqualify an applicant. We recognize that legitimate, actively operating businesses (for example, in Poland) may be legally exempt from VAT registration. Therefore, our approval process is highly complex and multi-faceted. We cross-reference the submitted data with local registries (such as the Polish KRS), check taxpayer white lists, confirm Ultimate Beneficial Owners (UBOs), and utilize various internal tools. Only this comprehensive, holistic evaluation leads to the final approval or rejection of an account.
The Result: A Trusted Ecosystem
Upon approval, our core Role Governor system dynamically assigns the correct capabilities based on the user’s path (Vendor or Buyer) and subscription plan.
While baseline registration secures your entry, GTradX also offers a dedicated Verification Module. This comprehensive compliance hub is optional but highly recommended for all users. It allows you to earn official verification badges that elevate your standing in the marketplace. Achieving top-tier status—such as the L3 Certification for Vendors or Verified Buyer status—grants you an official GTradX certificate (we will dive deeper into this in our upcoming publications).
